WTiN is committed to safeguarding the privacy of all our Innovate: Textile Innovation Week (Innovate) visitors and exhibitors. WTiN has the Virtual Event platform as a free to attend and paid to exhibit platform (the “Service”). This Service is provided by WTiN and is intended for use “as is”.

This page is used to inform primarily visitors, but also exhibitors, regarding our policies with the collection, use, and disclosure of Personally Identifiable Information (“PII”) of anyone deciding to use our Service. This policy also covers the submission of enquiries and/or entering of data relating to the Service prior to the Virtual Event taking place.

If you choose to use our Service, then you agree to the collection and use of information in relation to this policy. The PII that we collect is used for providing and improving the Service. We will not use or share your information with anyone except as described in this Privacy Policy.

Withdrawing consent

Where we are relying on consent to process your personal data, you may withdraw your consent at any time.  However, this will not affect the lawfulness of any processing carried out before you withdraw your consent.  If you withdraw your consent, we may be unable to provide further access to the Service to you.  We will advise you if this is the case at the time that you withdraw your consent.

Information Collection And Use

For a better experience and fulfilment of our obligations to visitors and exhibitors, sponsors and speakers, before using our Service, we require you to provide us with certain PII (such as email, name and job title).  We also collect certain activity and log data automatically whilst you use the Service. 

The information that we collect will be retained by us and used as described in this privacy policy.

Attendee submitted data

The information collected from you as part of our registration process is mandatory prior to being granted access to the Service.  Some of this information will be shared with exhibitors, as explained in greater detail below.

Activity and Log Data

The Service also collects visitor activity as part of its operation. This includes, but is not limited to, activities such as login attempts, pages viewed, videos viewed, documents viewed and downloaded, exhibitor booths visited (“Activity Data”). We store this information as events within the Service’s analytics functionality. Activity Data is linked to your other PII, and this information may be made available to exhibitors. Exhibitors may use this information to contact you inside, or outside of the Service.

The Service also collects data and information (including through third-party products) on your phone (or other device used to access the Service) (“Log Data”). This Log Data may include information such as your device Internet Protocol ("IP") address, device name, operating system version, the configuration of the app when utilising our Service, the time and date of your use of the Service, and other statistics.

Purposes for processing your personal data

We set out below in a table format a description of all the ways we plan to use your PII, and which legal basis we rely on to do so.  We have identified what our legitimate interests are where appropriate.

Note that we may process your personal data for more than one lawful ground depending on the specific purpose for which we are using your data.

Provision of PII to exhibitors outside of the GDPR regime

Due to the international nature of the Innovate event-, your PII may be made available to thid parties who operate in countries not governed by the GDPR.  Prior to accessing the Service, we will require you to read a statement explaining:

 - the identity of the receivers, or the categories of receivers;

 - the country or countries to which the data is to be transferred;

 - why we need to make the transfer;

 - the type of data;

 - your right to withdraw consent; and

 - the possible risks involved in making a transfer to a country which does not provide adequate protection for personal data and without any other appropriate safeguards in place.

You will need to agree to this processing of your PII prior to accessing the Service.  Whilst we will seek to put appropriate safeguards in place with exhibitors, by using the Service you will be confirming your consent to the transfer of your PII to such countries irrespective of whether such safeguards are in place.

Information Storage Location(s)

The Service data storage is primarily located within Microsoft's Azure Northern Europe (Ireland) data centre.  Additionally, Service data is replicated to Microsoft's Azure China infrastructure. The Service also used third-party services; these store data outside of the locations identified within this policy.


Cookies are files with a small amount of data that are commonly used as unique anonymous identifiers. These are sent to your browser from the websites that you visit and are stored on your device's internal memory.

This Service uses cookies to enable 'remember me' login functionality and to track your usage of the Service as you navigate through it. The Service may use third party code and libraries that use "cookies" to collect information and improve their services. You have the option to either accept or refuse these cookies and know when a cookie is being sent to your device. If you choose to refuse our cookies, you may not be able to use some portions of this Service.

Service Providers

We may employ third-party companies and individuals due to the following reasons:

  • To facilitate our Service;
  • To provide the Service on our behalf;
  • To perform Service-related services; or
  • To assist us in analysing how our Service is used.

We want to inform visitors of this Service that these third parties have access to your Personal Information. The reason is to perform the tasks assigned to them on our behalf. However, they are obligated not to disclose or use the information for any other purpose.

The technology platform for the service is hosted on Microsoft Azure.


We value your trust in providing us with your Personal Information; thus, we are striving to use commercially acceptable means of protecting it. But remember that no method of transmission over the internet, or method of electronic storage is 100% secure and reliable, and we cannot guarantee its absolute security.

For our own purposes, we limit access to your PII to those employees, agents, contractors and other third parties who have a business need to know.  They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

In addition and as noted in greater detail above, your PII may be shared with exhibitors as part of your accessing the Service.

Data retention

We will keep your personal data for a maximum of 6 years after you have stopped using the Service.  We will do so in order to:

 - Respond to any questions, complaints or claims made by you or on your behalf

 - To show that we treated you fairly

 - To keep sufficient records in order to comply with our legal obligations

We will not keep your data for longer than is necessary for the purposes set out in this policy, where it is no longer necessary to retain your personal data, we will delete or anonymise it.

Therefore, we strongly advise you to review the Privacy Policy of these websites. Children's Privacy

This Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from children under 13. In the case we discover that a child under 13 has provided us with personal information, we immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we will be able to do necessary actions.

Changes To This Privacy Policy

We may update our Privacy Policy from time to time. Thus, you are advised to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page. These changes are effective immediately after they are posted on this page.

Your legal rights

Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.

Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios:

 - If you want us to establish the data’s accuracy.

 - Where our use of the data is unlawful but you do not want us to erase it.

 - Where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims.

 - You have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
